Responsibilities:
- Act as the point of contact among executives, employees, clients, and other external partners
- A timely and accurate manner of the management of information flow
- Management and setting up of executive meetings, seminars, conferences or similar functions, including timely and accurate production of quality Meeting Minutes
- Travel and accommodation arrangements, as required
- Regular report and expenses record, including collate expenses and prepare weekly, monthly, or quarterly reports
- Format information for internal and external communication, such as memos, emails, presentations, and reports
- Secure and accurate record keeping requirements
- Screening and meeting requests directions, phone calls, as well as distribute correspondence, etc
- Liaison with staff in China and delegations, including manage their travel arrangements if required
- Regular follow-up actions with managers to determine the effectiveness of plans and implementation
- Effective and efficient communications on behalf of CEO or members of the Executive Group
- Development of a pool of resources in advance of need, for event development and management, etc
- Efficient and accurate administrative and clerical tasks.
- Ensuring that milestones and key deliverables are met.
- Liaison with relevant department staff to coordinate the implementation of assigned project.
- Effective delivery and execution of administrative tasks on Learning Management System, as directed, including managing enrolment of staff to particular course(s), course verification, and CloudCampus maintenance tasks.
- Assistance with course quality assurance process, as required
- Act as an office manager by keeping up with office supply inventory
- Effective organisation and maintenance of the office filing system
- Comply with WHS regulations
Requirements:
- Bachelor’s degree in relevant field
- Substantial experience in working with executive staff for the provision of high calibre business support, and
- Demonstrable experience in the strategic development of executive resources management and management across international partnerships, offices, and engagement functions at the senior level.
- Substantial experience in providing a high level of customer service
- Ability to work independently
- A sound understanding of the current administration issues within a multiple site organisation
- Understanding of effective project strategies/plans
- Ability to plan for and ensure the availability of resources and staff are met with periodic organisation needs and related events management.
- A friendly professional manner at work place
- Excellent English writing and speaking skill
- Competence in using MAC OS X, Microsoft Office, Adobe Acrobat and related software
- Excellent interpersonal skills and team player
- Strong organisation and self-management skills
- Mature, confident, approachable personality.
- Ability to demonstrate adaptability, enthusiasm, flexibility, and creativity.
Salary: $70k - $90k plus super
