Overall Description

Requires a proactive and dedicated individual focused on providing support to a senior sales agent in multi-facets of her individual personal role as a sales performer.

The role is fundamental in establishing and supporting her success in exceeding sales performance targets & customer service protocols to become a class-leading real estate agent with a superior profile. This is to be achieved by specifically providing exceptional service to buyers and managing the buyers on each property campaign to match buyers and create emotional equity to achieve premium pricing. 

Key Outcomes centre on managing each property campaign in regards to buyer demand and inquiries, matching buyers and developing buyer interest and creating a successful outcome for sellers and buyers. 

Simultaneously, you provide outstanding administration support to create efficiencies and remove unnecessary tasks from the lead agent to ensure they can focus on specific sales related duties to achieve higher sales performance. 

Facilitation:

This role involves working cooperatively as a team in an effective business unit with:

  • Sales Associate

Key tasks:

Campaign Management

  • Handle incoming phone and email inquiry from prospective buyers
  • Contact all open for inspection attendees
  • Ascertain interested parties from open house inspections and record in campaign matrix for development
  • Develop and manage a premium level buyer matrix/data base
  • Liaise with seller regarding marketing and approvals
  • Provide calendar of events to seller and discuss were necessary
  • Assist in Drafting weekly vendor reports
  • Organise weekly vendor meetings
  • Conduct private inspections to supplement open houses
  • Conduct World class open for inspections with lead agent/autonomously
  • On site preparation for open houses/auctions with impact
  • Contact open for inspection attendees that have confirmed interest in the property
  • Complete auction summary

Buyer Conversion and Listings

  • Generate appraisals from OFI’s & data base
  • Generate listings from sales campaigns
  • Attend appraisal meeting were necessary

Customer Service Process

  • Coordinate pre-settlement inspections
  • Communicate with existing new purchasers from point of contract exchange -> to settlement day
  • Organise final inspection for purchaser
  • Notify seller and purchaser of settlement day and time
  • Ensure seller satisfaction and support
  • Update new purchaser to database under current appraisals/purchaser

Appraisal Nurturing

  • Sms potential seller a thank you message for considering our services
  • Email pre meeting listing DOC within 5 mins
  • Prepare and email/drop pre listing material within 30 minutes
  • Prepare research on property and other relevant sales data
  • Attend listing appraisal appointment were necessary with director
  • Forward after appraisal client gift following appraisal appointment same day or next morning
  • Forward after appraisal minutes meeting within 30 minutes – 60 minutes
  • Establish communication action plan and activate depending on client motivation

Listing Management

  • Assist and establish listing file
  • Call photographer and book in time to take photo shoot
  • Communicate open house times on Monday for the mid-week and weekend open times
  • PR mid-week vendor chat and hello
  • Vendor Management (educate with feedback/price interest points)
  • Place under contract sticker
  • Arrange 14 day & 21 day vendor meeting appointments
  • Arrange weekly property listing activity reports and forward to vendors
  • Attend Open Houses and Auctions

Lead Sales Agent

General Expectations

  • All inquiries are attended to efficiently and with speed
  • All inquiries are provided all relevant information about the property they are inquiring on
  • Offered private viewings if they request this or can’t make the scheduled open house
  • Attend the open house destination a minimum of 10 minutes prior to set up the effectively and open on time
  • All properties must have 4 – 6 genuine buyers attending the auction day that have registered
  • Must have at least 10 buyer appointments per week to service the existing properties if that is less than 6 and 14 if more than 6 properties, we are marketing
  • To communicate the progress of each property to the lead sales agent
  • To communicate concerns about a campaign in a timely manner
  • To communicate feedback regarding the various properties being marketed
  • To foster offers from prospective buyers during the campaign
  • To ensure the property is /has received the relevant amount of interest and demand by being proactive and cross selling from other properties and introducing new attendees consistently to the open house and by private viewing
  • To ensure we sell or properties unless withdrawn by the client or unless the client has revised their expectations to an unreasonable price expectation that does not meet the prevailing market conditions

Salary: $50K plus super plus bonus
