Preparing stock for sale
- Collect Project information from Developers and Builders, and prepare, with the approval of the Operations Manager, summaries for each project
- Share project information (including but not limited to project summaries and supporting documentation) to the cloud system
- Analyse the projects sales key information, masterplans and stage plans, as well as contracts, to understand the project completely
- Liaise with builders to assess the suitability of the stock for construction, including whether house designs would be feasible, and whether there are any foreseeable costs that need to be factored in (site preparation, design guidelines, etc.)
- Where required, assist the sales department in preparing marketing materials
- Manage the project stock list, ensuring it is up to date at all times.
- Work closely with developers and builders to source stock as it becomes available and removing stock as it becomes sold or otherwise unavailable
- Maintaining strong relationships with developers and builders in the marketplace
- Assist the Operations Manager in finding new projects, and building relationships with those developers to source new stock
Support tours by offshore offices and clients
- Gather and summarise client information/client requirements for each Chinese investment tour group (Currently twice a month)
- Assist Sales and Operations team to prepare training materials to China offices
- Assist sales team in preparing event marketing materials (Tours, Roadshow, Seminar etc)
- Provide customer service to tour groups
Facilitating sales transactions
- Look after enquiries from the local and offshore offices as well as channels, including project information, stock and sales enquiries, and other general enquiries
- Liaising with developers (and their sales agents) to reserve stock and update the sales status on time
- Request packages and building contracts from the builder
- Prepare contract documentation and send to the sales staff
- Follow up and drive the payment of deposits and signing of contracts
- When required, assist with closing reservations and sales cycles
- Report to Operations Manager on a regular basis the status of available stock and active sales cycles
Optimising and improving the sales support process
- Assist Australia team to deliver important message to offshore offices including policy updates, information/ software updates etc.
- Assist sales and Operations team to prepare training materials to China offices
- Integrate databases and put different files into the folders to improve the working efficiency for sales
- Draft sales and operation procedures under the guidance of the Operations Manager
Office Admin Support
- Record meeting minutes and prepare meeting material
- Set up video conference call between Australia & China
- Assist in sales team and operation team administration tasks (forms generation, reporting, non-sales record filing and stationary stock take etc.)
- Enter client database and property sales record into CRM system (individual offshore clients, roadshow clients etc)
